RENTAL AGREEMENT & POLICIES
Reservations/Cancellations
All Reservations require a $200 deposit by credit card. Full payment is due 45 days prior to your arrival date. If final payment is not received when due, your reservation will be cancelled. Reservation changes are subject to a $25 processing fee once under deposit. Reservations cancelled within 45 days of your arrival date are NON-REFUNDABLE. It is advised that trip interruption/cancellation insurance must be purchased prior to making your final payment. No-shows will receive no refunds.
Damage/Security Deposit
All Rentals require a credit card be included on this form. Damages/Security Deposit. In addition, Homes and Monthly Rentals require a Deposit to be paid in the form of a check or money order. Provided there are no damages or extra charges, deposits are refundable within 14 days of your departure date.
Trip Insurance
You may purchase trip cancellation/interruption insurance from CSA Lodging Protection Plan at 1.800.348.9505 for a small percentage of your trip cost. CSA Lodging Protection is not an affiliate of EPM Services, LLC but is one of several travel insurance companies available. Generally, insurance coverage must be in place prior to making the final payment for your reservation. If you are booking within 45 days of your arrival date, please be sure to obtain insurance immediately.
Rates & Discounts
A standard 5% discount is included for reservations consisting of at least 7 nights; 10% for 14 nights; 15% for 21 nights and 20% for stays consisting of 28 nights or more. Restricted dates may apply. Standard discounts are not interchangeable with any other discounts and do not apply to properties with 30 day minimum requirements.
Cleaning Fees
Standard pre-set cleaning fees apply for all properties and vary with the size of the rental. To avoid extra cleaning fees, please review the check-out instructions listed below. Additional details will be posted inside your rental. If you are still uncertain of the condition in which the property should be left in, please call us.
Occupancy/Limit
Each Vacation Rental has a maximum occupancy limit. Please provide the total number of guests when making your reservation to ensure enough bedding and supplies are available.
Check-In
Check-in time is after 3:00 p.m. for condos and 4:00 p.m. for homes. Keys are located at your Vacation Rental/Complex. A complete set of check-in instructions & maps will be sent to you upon receipt of final payment. Review your Check-in Instructions thoroughly and bring them along with you. In the event you have not received these documents prior to your scheduled arrival date, be sure to contact our office to request a copy via email or fax during office hours. Office Hours: 8:30am-4:00pm Mon-Fri. Closed on weekends & Holidays. If you are unable to retrieve your keys after office hours, please call our emergency line: 808-217-6804
Check-Out/Cleaning
Check-out time is 11:00 a.m. It is your responsibility to start the dishwasher and/or wash used dishes, remove the trash, & launder linens daily. Housekeeping will take care of any remaining items from your last day only. Excessive amounts of dirty linen, dishes and trash will result in additional cleaning charges to your account.
Late Check-Out
Late check-outs must be authorized in advance and can be confirmed at a half-day rate upon availability. Unauthorized late check-outs will be charged for one extra full day. Please note that the requested check-out time does not confirm a late check-out.
If You Get Locked Out
If you have obtained your key from a lock box at the entry door, be sure to return it immediately. Additional keys are available inside the rental property. If after-hours lock-out assistance is needed, there will be a $25 charge payable in cash to the assisting agent
Compliance to Rules/Policies
All guests must be in compliance with all Complex/Subdivision House Rules applicable to the rental property in addition to the Policies stated herein. If you do not have a copy of the House Rules corresponding to your rental, please contact us. Any violations of these rules will result in violation fines and an immediate eviction without refund.
Damages
Please report any damage to us immediately. Prompt action may allow us to lessen the damage (especially spills on carpet or furniture). Excessive wear, tears, stains, burns, missing/broken items, lost keys, extra cleaning, smoke odor, etc., will be charged to your credit card and/or Damage/Security Deposit.
Maintenance
Please report any equipment failure to us immediately. We reserve the right to enter your Vacation Rental during your stay for repairs with 48 hours notice, and without notice in an emergency.
Construction
Construction at areas surrounding our rental properties are beyond our control. We do not offer refunds, relocations or discounts for construction noise or disturbances. If there is excessive noise beyond normal working hours, we will attempt to contact the construction site manager regarding working hours.
Bugs
Routine insect spraying is part of life in the tropics. If treatment is scheduled during your stay, a notice will be posted in advance. Remove garbage daily, and store all food in containers.
Emergencies
For any emergencies concerning your reservation or rental property, please call us at 808-327-6751. After business hours, you may call 808-217-6804. If you have a safety or medical emergency, please dial 9-1-1. In the event you or a registered guest is injured in or on the premises; a follow up report to our office must be made within 48 hours and prior to vacating so that appropriate measures can be taken and events documented. Reports received after vacating will duly noted.
Long-Distance Phone Calls
While local calls are free, a credit card or calling card must be used for all toll calls. Long distance charges incurred during your stay will result in a $25 processing fee in addition to the toll charges.
Items Left Behind
We will not responsible for any items left behind. A $25 service charge plus postage fees will be charged for items needing to be picked up and mailed back to you.
Pets
There are no pets allowed in any of our rental properties, with the exception of a service animal. In this case, full disclosure and proper documentation must be provided at the time your reservation is made. If proper notification is not given, we reserve the right to cancel your reservation or vacate you immediately. In addition, you will be responsible for any damages or cleaning deemed necessary.
Smoking
Smoking is strictly prohibited in all rental properties. Please be advised that there are new smoking laws in the State of Hawaii which prohibits smoking in public areas and entire condominium complex properties, including all common areas. Should you wish to inquire about a specific condominium complex, please call for more information. Direct violations will result in an automatic $75 fine plus the cost of carpet/upholstery cleaning, and any other damages as a result.
Miscellaneous Information & Disclosures
For crime prevention, be sure that all doors and windows are locked when you leave or sleep. We are not responsible for theft, lost or missing items. Please contact the local police for assistance. We ask that you provide us will a follow up report of the incident within 48 hours and prior to vacating.
All rates, discounts, properties, descriptions, taxes & policies are subject to change without notice.
Each unit is individually owned. Although it may be reserved in your name, it is not guaranteed. We reserve the right to relocate your stay or offer you a refund in the event an unforeseen circumstance makes a property un-rentable or unavailable.
Re-renting and subletting are strictly prohibited. Unregistered guests or occupants will be vacated immediately and without refund.
Guests assume all responsibilities for risks associated with travel, activities, cars, etc., including but
not limited to, accidents, illness, inclement weather, golf balls, drowning, traffic conditions, property damages and crime/prevention.
We do NOT manage any of the Condominium Complexes. We have NO control over closed facilities, complex improvements, and Pest Control. We will do our best to give you advance notice as it becomes available to us so.
